This policy explains what LevelWage collects, why, how long we keep it, and your choices. The short version: we collect what we need to prepare your certified payroll, keep worker identifiers to the last 4 digits, delete raw uploads after 30 days, and never sell data.
What we collect
- Account and company details: your email, name, company legal name, address, phone, and the certifying official's name, title and email.
- Project details: project names, numbers, locations, wage determinations, rates and your prime's contact.
- Payroll data you upload: worker names, the last 4 digits of their identifying numbers, classifications, hours, rates, fringe, deductions and pay. Full Social Security numbers found in uploads are cut to the last 4 digits when we read the file. Worker addresses only when a state format needs them.
- Payments: handled by our payment provider; we receive the payment status and plan, not your card number.
- Usage: basic logs needed to run and secure the service, and which page or link brought you to us.
Why we use it
- To build, check and deliver your reports, and to send the emails you ask for (report ready, send to my prime).
- To keep the service secure and fix problems.
- To process payments, refunds and review cashback.
How long we keep it
- Raw uploaded files: deleted after 30 days.
- Finished reports and the data in them: 3 years, unless you delete the project sooner (Davis-Bacon records must be kept 3 years after a project is completed, so you may want them).
- Account data: while your account is open, then deleted on request.
Who we share it with
Only service providers that help us run LevelWage (hosting and storage, email delivery, payments, and an AI model used to read PDF payrolls you upload), under obligations to use the data only for that purpose; your prime contractor when you click "Send to my prime"; and authorities when the law requires it. We do not sell personal data.
Your choices
Email help@levelwage.com to get a copy of your data, correct it, or delete it. If you are a worker whose data a contractor uploaded, contact that contractor or us.
